Methodology

How this calculation works

A tool workflow is rarely free: there is a plan cost and a small amount of supervision, checking and fixing. This calculator includes both, so the saving is honest. A custom build replaces the monthly tool cost with a one-time cost, which is why payback is shown separately.

Manual cost = tasks/day × working days × minutes/task ÷ 60 × hourly rate. Automated cost = tool cost + 10% supervision. Saving = manual − automated. Custom payback = custom build cost ÷ monthly saving.
What to do next

Turn the number into a decision

  • ▸Start with one task that happens every day — that is where the hours hide.
  • ▸If a task takes under a minute but happens 500 times a day, it still counts. Multiply it out.
  • ▸Custom workflows make sense when the monthly tool cost, or the task volume, is high enough to pay them back.

Questions about this calculation

It depends on volume, complexity and cost. Zapier is simplest, Make is often cheaper at volume, and n8n is strong for self-hosted or custom logic. The right choice follows the task, not the brand.

When the monthly tool cost is high, the task is business-critical, or the workflow needs custom logic, retries and error handling that a tool plan cannot do cleanly.

Copying data between tools, sending the same follow-up, updating spreadsheets, creating records, and reconciling orders — anything done the same way, many times.

It removes repetitive work, not the people. Staff move to serving customers, selling and handling exceptions, which is the work a tool cannot do.
